Veterinary Clinic Replaces Institutional Knowledge With a Complete Operational System

A burnt-out veterinary clinic owner had the tools to run a great practice. They were just disconnected, undocumented, and entirely dependent on her to hold them together. We fixed that for $18 a month.

The Challenge

A high-quality small animal veterinary clinic was running entirely on the owner’s memory. SOPs existed in fragments across Google Drive, a laptop, and physical binders. The internal communications platform the team depended on had been discontinued and was no longer supported. Critical knowledge about how the practice operated lived in one person’s head, and every question from staff meant another interruption to the owner’s day.

The owner was at a breaking point. A staffing crisis left the team understaffed and cross-training on the fly. There was no consistent onboarding system, no automation connecting the clinic’s tools to each other, and no way for the practice to grow to 60-90 new clients per month without the owner becoming even more of a bottleneck than she already was.

The biggest challenge was not a technology problem. It was a systems problem. The clinic had good tools. They were just disconnected, underused, and entirely dependent on one person to hold them together.

What We Built

A four-pillar operational system designed to get the owner out of the middle of everything and give the practice the infrastructure to grow without adding overhead.

Talent and Onboarding System

Set up Breezy HR on the free Solo tier to create a structured hiring pipeline with postings distributed across 50+ job boards from a single dashboard. Used Google Gemini, already included in the clinic’s Google Workspace, to draft job descriptions and SOPs directly inside Google Docs. Recorded Loom walkthrough videos of the clinic’s core procedures so new staff can self-onboard without pulling the owner away from patients.

Practice Automation Engine

Replaced the discontinued messaging platform immediately with Google Chat, activating it inside the existing Google Workspace subscription at no additional cost. Created dedicated Spaces for Front Desk, Clinical Team, and Management. Then built a custom Gemini Brain Dump Gem, a purpose-built AI assistant that lives inside the owner’s existing Gemini app and listens to voice memos on the go. It automatically routes tasks to Google Tasks, drafts emails and saves them to Gmail, logs ideas to Google Keep, and adds events to Google Calendar, all without any trigger phrases and without the owner needing to organize a single thought manually.

Unified Operations Platform

Made EZYVet the single source of truth for scheduling, billing, client records, and recalls, auditing and activating features the clinic already had access to but had never fully configured. Deployed a self-hosted n8n automation server on a $6/month VPS to connect the clinic’s tools without per-task fees or third-party SaaS dependencies. Built five automated workflows: new clients from EZYVet flow directly into Mailchimp and trigger a welcome sequence; appointment confirmations post to the relevant Google Chat Space automatically; Google Business Profile reviews trigger an AI-drafted reply saved as a Gmail draft for one-tap review and send; and ProfitPaws loyalty milestones trigger reward emails without any manual work.

Consolidated all SOPs into a structured Google Drive folder system with a Notion staff navigation index so any team member can find any procedure in seconds without asking the owner. Added Google NotebookLM so the owner can ask plain-language questions across the entire SOP library and get cited answers instantly.

Predictable Client Growth

Fully optimized the Google Business Profile with the CheckVet online booking link embedded directly in the Book button, so new clients can schedule without a phone call. Activated Mailchimp for automated welcome sequences, recall campaigns, and loyalty emails, all fed automatically by the n8n workflows. Connected ProfitPaws loyalty milestones to the email system so reward outreach happens without anyone on staff having to manage it.

The Results

The clinic went from zero documentation to a complete operational playbook. Staff can now onboard, find procedures, and execute without pulling the owner into every question.

The owner’s thought capture system alone eliminates hours of lost time each week. Ideas, tasks, and follow-ups that previously circulated in her head and fell through the cracks now get captured, sorted, and acted on automatically every time she speaks into her phone.

The automation layer connects tools the clinic already owned, activates capabilities that were already paid for and sitting unused, and handles routine outreach without any staff involvement. The entire new infrastructure runs for approximately $18 per month.

The goal from the start was to build something that would function as a showcase for what’s possible in a small veterinary practice. That is exactly what it became.
