A tour operator was losing time and bookings to a fully manual WhatsApp process. We built a five-workflow automation system that takes a guest from first inquiry to confirmed deposit without the owner lifting a finger.

The Challenge

A tour booking business was running its entire operation through manual WhatsApp conversations. Every booking came in as a freeform message or web form submission. The owner then had to read it, contact available guides one by one, wait for a response, send a deposit request manually, chase it if it went unanswered, and update a spreadsheet by hand at each step.

Guides were being contacted sequentially, which meant slow response times and missed bookings when the first guide did not reply. Deposits were not collected at the point of confirmation, so bookings sat in limbo. There was no system tracking where any booking stood, no alert when something stalled, and no CRM capturing the business relationship being built with each guest.

Every booking that came in created work. And every hour the owner spent on coordination was an hour not spent on growing the business.cting inbound leads to follow-up, leaving revenue on the table every week.

What We Built

A five-workflow automation system built on n8n that handles the entire booking lifecycle from first inquiry to confirmed deposit, without any manual involvement.

Intelligent Booking Intake

Built two entry points into the same system: a Contact Form 7 integration on the WordPress site and a dedicated WhatsApp booking line. Web form submissions trigger the workflow instantly. For guests who message over WhatsApp directly, a Claude AI model reads the freeform message, extracts the structured booking details (name, city, date, party size, tour duration), and routes it into the same pipeline as a web form submission. Incomplete messages automatically ask the guest for whatever is missing.

Simultaneous Guide Broadcast

The moment a complete booking is received, every available guide in the relevant city receives the booking offer simultaneously over WhatsApp, with a single-tap confirmation link. The old sequential approach of contacting guides one at a time is gone entirely. The first guide to confirm locks the booking. Every other guide automatically receives a notification that the spot has been filled.

Automated Deposit Collection

When a guide confirms, the system immediately calculates the deposit amount based on the guide’s rates and tour duration, generates a live PayPal payment link, and sends it to the guest over WhatsApp with a full breakdown of deposit versus balance. No invoice to write. No payment link to find and paste. No follow-up to send.

Payment Confirmation and CRM Update

When the deposit clears, the workflow updates the booking record, copies the confirmed booking to a dedicated tracking sheet, sends the guide the full confirmed details including hotel information, and sends the guest Alan’s standard confirmation message. If the tour is within three days, the guest receives the guide’s WhatsApp number directly. Every confirmed booking is also logged in Nimble CRM as a Won deal with the guest’s full contact record and booking value attached.

No-Response Monitor

A background workflow runs every two hours and checks for bookings that have been waiting on a guide response for more than 24 hours. When one is found, the owner receives an alert with full booking details, the guest receives a holding message so they know they have not been forgotten, and the record is flagged to prevent duplicate alerts. Nothing falls through the cracks.

The Outcome

The booking process that previously required the owner’s attention at every step now runs end to end without manual involvement. A guest can submit a booking, receive guide options, confirm a guide, pay a deposit, and receive a full booking confirmation entirely through automated messages, often within minutes of the original inquiry.

The simultaneous guide broadcast alone transformed fill rates. Guides who previously might have been missed because of sequential outreach are now all contacted at the same moment, which means faster confirmations and fewer lost bookings.

The Meta ads package drives new inbound inquiries directly into the same automated pipeline, so paid traffic converts without adding any workload. Every converted booking lands in the CRM automatically, giving the business a real revenue record for the first time.

The owner’s time is no longer the bottleneck. The system handles the volume.
